The executive assistant will be responsible for supporting the business development and strategic planning departments. Responsibilities will include:
Scheduling extensive travel arrangements for officer-level employees including coordinating associated expense reports
Coordination of meetings (including Board of Directors offsite) and conferences including managing technical equipment, meeting materials, food and beverage, and conference call-ins
Coordinating the calendars of multiple officer-level employees
Assisting analyst level employees with coordination of meetings and preparing presentations
Point person for all administrative details for area including:
Coordination with Finance team on budget
Managing the dept calendar (vacation, travel, high-level meetings, etc.)
Disseminating mail
Ordering supplies
Answering phones
Greeting visitors
Handling packages
Providing back-up to administrative support team for Corporate Development division
Requirements
3+ years previous administrative experience in fast-paced company highly preferred
Financial services experience a plus
Microsoft Office Suite proficiency (including strong PowerPoint skills)
Ability to work in fast paced environment
Ability to handle confidential information with maturity
Customer service attitude; Ability to multi-task, adjust priorities quickly and flexibly, and work tactfully with strong personalities.
